UPDATE 10/18/23: regarding the issues detailed below, we discovered that the SmartLink functionality is tied to Workspace Tab vs. Subtab (they open as expected from Workspace Tab, they do not open from Subtab). We found this reported under Known Issues:

Is anyone else experiencing this issue with the new Knowledge Editor? Are there solutions?

 

We are testing the new editor in a sandbox environment. In that environment, when a SmartLink is clicked within a Draft or newly-published article, nothing happens (the link is not opening anywhere).

 

ISSUE REPLICATION #1:

  1. Create new article using new editor
  2. Insert a SmartLink to another article (Published or Draft)
  3. Save
  4. Click the SmartLink -- it should open the linked article but nothing happens
  5. Publish the article
  6. Click the SmartLink -- it should open the linked article, but nothing happens

ISSUE REPLICATION #2:

  1. Locate a Published Knowledge article that (a) contains a SmartLink and (b) was published prior to the new editor
  2. Click the SmartLink -- linked article opens as anticipated
  3. Navigate back to the parent article
  4. Edit as draft
  5. Save
  6. Click the SmartLink-- it should open the linked article but nothing happens
  7. Publish the article
  8. Click the SmartLink -- it should open the linked article, but nothing happens 
  9. Click Versions > Click into prior (now archived) version
  10. Click the SmartLink -- linked article opens as anticipated from the archived version

    It looks like the new Editor was enforce in Spring '24 because I didn't enable it and we have the new Editor.  We are having issues with Smart link as well.  When we type keywords in the "Link to Article" field, the article we are looking for is not showing on the list.  See attached file.

Hello, 

For a Knowledge article created within Salesforce, once it is 'published' it is visible on customer community for all external users like customers. However, these external users are also able to see the hover-over help text that we have provided at the field level for our internal employees who write the articles. 

How can we restrict the visibility of these hover-over field-level help text of published articles from customers on community and other external portals?

    Wow, excellent question !

     

    I'm afraid the only way I can think of is to add som custom CSS to your communities to hide those bubbles.

Has anyone come across a solution that allows Topics to be seen without giving all Knowledge Users to create Topics? 

 

I created a Profile for "View Only" (no creating, updating, editing etc. any Knowledge articles) but it still allows them to create Topics. #Lighting Knowledge #Assign Topics #Service Cloud

Hi, we are migrating Drupal articles to Salesforce Knowledge and we have some translated articles not linked with Original language articles, how can we link the translated articles with original if we can't edit in any way the MasterVersion Id field to relate both? Is there any way to do it?

     As per the case description, I understand that you are looking to upload translated articles associated to master article(Knowledge__kav object.)

     

     I have tested this in my demo org and found a way to achieve this by creating a lookup field,

     

     i. Created a lookup field(ParentKnowledge) to knowledge.

     ii. Translated an article(Creates a new Spanish article with draft status)

     iii. Updated the field ParentKnowledge with the English article in the newly created article.

     iv. The translated article is associated with Master article.

     

     Also, I have tried updating the article using data loader(refer the attched article.csv file).

     

     Please find the attachments for reference.

     

     Note the following restrictions:

     

     It's only possible to update draft articles via Data Loader and there are restrictions on how you can export or query knowledge articles.

     

     It's not possible to update an article's PublishStatus via the Data Loader and it's necessary edit each article you would like to update to create a draft version.

     

     There is no standard or supported means to mass update articles to draft status. They must be set to draft status one at a time via the user interface.

Interested in ways you have structured your KB with longer documents like procedures/job aids with step by step processes? We have the record types with different fields on the page layouts but this is more specific to the format once within the rich text fields. 

 

Right now we use tables in another system, but it is a big undertaking to make sure they are correct prior to publishing. Doesn't look like you can pre-populate a "template" within the rich text fields. So, have any of you used a more simple format that is easy for your users to follow step-by-step without tables?

    Just a side note if you need to take accessibility into account for your audience. Tables can be awful for screen readers. If you use them, you'll want to be sure to incorporate summary/caption/headers and make sure they're as flat and simple as possible.

Balanced Scorecard???

 

I am digging around looking for a Balanced Scorecard (ex: Cases with Knowledge Article Activities). Does one exist in Salesforce?

 

Here is what I am wanting to see:

  • Team/Group
  • Manager Name
  • User Name
  • KCS Role of User
  • KCS Coach for the User
  • # Cases by this User
  • # Knowledge Articles Viewed
  • # Knowledge Articles Attached (Linked)
  • # Knowledge Articles Created
  • # Knowledge Articles Modified
  • # Citations for KAs the User Created
  • # Citations for KAs the User Modified

 

Having this information will enable my organization to drive adoption and usage of the KB. And as we all know, the greater the use of the KB, the greater the productivity, savings and revenue for Salesforce's Customers. (Seems like a no-brainer)

 

Anyone doing this???
