A user can access a Salesforce record but cannot see a particular field, even though they have access to the object. How would you troubleshoot this issue? Which settings would you check, such as Field-Level Security, page layouts, permission sets, and profiles?

Hi @Pranay yerragunta If a user can access the record but cannot see a particular field, I would troubleshoot it in this order:

    1. Field-Level Security (FLS): Check whether the field has Read access through the user's Profile or Permission Sets.
    2. Page Layout: Verify that the field is added to the page layout assigned to the user.
    3. Lightning Record Page: If Dynamic Forms are used, check whether the field is added and whether visibility filters are hiding it.
    4. Permission Sets: Check the user's assigned Permission Sets and Permission Set Groups for field access.
    5. Record Type: Verify that the correct page layout is assigned based on the user's Profile and Record Type.
    6. Login as User: Test using the affected user's access to identify where the field is missing.

Important: Record access, object permissions, and field-level security are different. Having access to a record doesn't automatically provide access to every field.

Best Practice: Start with Field-Level Security, then check the Page Layout and Lightning Record Page. These are common reasons for field visibility issues.

    Hello @Rohan Bhavsar

you had probably used this playground for other modules, and created users while taking them. Deactivate this (these) useless active user(s) linked to former modules (setup > users > select a user and deactivate it) to free some licenses and be able then to create a new user. Create a brand new playground and take the challenge again if you are still stuck / unsure about the users to deactivate.

Hi Everyone,

I have an Experience Cloud site where the users are using the Customer Community Plus license.

I have a requirement to create a new Customer Community Plus user from an LWC/Apex component. As part of the user creation process, I need to select the appropriate Customer Community Plus Profile.

To populate the Profile selection, I need to fetch the available Profiles from the org using Apex.

I tried the following SOQL:

List<Profile> profiles = [

SELECT Id, Name

FROM Profile

];

However, when this code executes in the context of a Customer Community Plus user, I receive the following error:

sObject type 'Profile' is not supported

I also understand that Experience Cloud users have restrictions on accessing certain standard objects.

My questions are:

  1. Is there any way to grant a Customer Community Plus user access to the Profile sObject through a Profile, Permission Set, or any other Salesforce configuration?
  2. If direct access to the Profile object is not supported for Customer Community Plus users, what is the recommended Salesforce approach for retrieving the appropriate Customer Community Plus Profile when creating another user?
  3. Is there any supported Apex/API approach to retrieve the available Customer Community Plus Profiles without directly querying the Profile object?

My requirement is specifically:

Existing Customer Community Plus user → LWC/Apex → Create a new Customer Community Plus user → Select the appropriate Customer Community Plus Profile

Any guidance or recommended approach would be greatly appreciated.

Thanks!

Is there a way to either (1) choose a profile and see a list of all the objects and the corresponding Lightning page assignments for this profile and/or (2) look at an object and see all the Lightning page assignments for an app for each profile?

    Hi Rachel,

Confirming the object-level view: Object Manager > [Object] > Lightning Record Pages > Page Assignments shows every profile/app/record-type combination and which page each one gets — that's the closest native equivalent to your #2 ask.

For #1 (profile → all objects/pages), there's no native single screen for that. Options if you need it regularly:

    1. Query it via Tooling API — FlexiPage and FlexiPagePageAssignment objects hold this data; a nightly export/report could reconstruct a profile-centric view for you.

    2. Metadata-based approach — retrieve all FlexiPage metadata via VS Code/CLI and grep for a specific profile name across the assignment XML — faster than clicking through Object Manager one object at a time if you have many objects.

    3. AppExchange tools — several free/paid metadata-dictionary apps (e.g., Elements.cloud, Metazoa) can generate cross-referenced reports like "profile → pages → objects" without manual digging.

Trailblazer Profile editing is currently not working for me.

When I open Edit Profile, the required fields Role and Relationship to Salesforce already contain valid selected values, but both fields are highlighted in red and Salesforce displays “This field is required.”

Re-selecting the existing values or choosing different values does not resolve the validation error. Because of this, I cannot save any changes to my profile, including my title and Short Bio.

The profile editor has also become unstable: while entering or changing text, characters sometimes behave unexpectedly and the edit window can close or reset.

Expected behavior: existing or newly selected values should be accepted and profile changes should save normally.

Actual behavior: the two required dropdown fields are treated as empty even though values are visibly selected, preventing all profile updates.

I have screenshots showing the validation errors. Is this a known Trailblazer Profile issue, and is there a workaround or a way to have the profile data corrected?

There can be a random compatibility issue as the maintenance goes on the backend. So please give it a try.

So a question for you that have moved permissions from Profiles to Permission sets, how did you handle Global Actions?  Since Global actions rely on the Global Publisher Layout and that is only by Profile, how did you handle situations where some users needed to see global actions and others did not?

@Edward Elliott I am leaning toward a limited set of Profiles, to handle global and in a very specific use case, default record types. In most cases, as you mention Permission Sets, flows, etc can handle everything. But there are some use cases, at least for us, that mean I will need to look at having at least 2 if not 3 profiles, just for that. Still far less than what we have now.

Hello - I am a solo admin for a nonprofit and I am starting the journey of migrating from Profiles to Permission Sets.  I have been doing some research and talking with others, watching presentations, and more.  So at a high level, things are making sense.  However......I am also trying to determine what are the main things that are important and what is just "noise".

For example, I am doing some comparisons of the profiles and I am also just reviewing what access each profile has, not what is just different but do I have profiles that have access to object and fields that they should not have (or do not use).

I am using the Elements app to help with this and one thing I noticed is that in some cases, even if a person has a Profile called "Coach" for example and that Profile does NOT have access to a specific Object, like "Opportunities" they are showing that they DO have access to a number of fields in the Opportunity Object.

Now, I know that since they don't have access at the Object level they can't view those fields.  But my question is Do I need to make sure that I remove the field level access on the "Coach" profile and another other profiles that were cloned off that?  Or just leave it as is and just focus more at the overall Object level?

Again, just trying to determine how much clean up (or pre work) I need to do.

I should mention that our org has been using SF since 2009 and I was not here, so I really don't know what they did to make a number of the profiles or specifically what base profile they cloned a lot of what I am dealing with now.

Anyway, any insight/advise is appreciated.

    Hi @Heath Parks

I have recently done this process myself.

I would recommend clearing out what they don't need access too, as going forward it will make things clearer and easier for you.

You do also have a couple tools you could use to make this process easier.

1st tool is PermComparator which is a Heroku app that lets you compare user's access.

2nd is an app I have installed in my org called 'User Access & Permissions Helper' from the AppExchange.

This wonderful app allows you to convert existing profiles into permissions sets at a click of a button.

    Hope this helps :)

I'm on a project that's at the beginning stages of building an Org that will ultimately have a large number of users whose access rights will vary greatly by user function/role.

The current design is to use only 1 or 2 Profiles, and manage all of the access needs via Permission Sets and Public Groups.  Is this a recommended approach?

My concern is that certain features which are dependent on Profiles - like Field-Level Security, Record Types, etc - don't support using Perm Sets and Pub Groups.

Is there a best practice for determining how many Profiles an org needs, out of the gates, versus Perm Sets and Public Groups?    (FYI, the current design is to not use the OOTB Role Hierarchy either...in case that impacts this decision)

Thanks, in advance!

What did you ultimately decide? I’m in the same situation. Very customized record types I don’t need others to see. It’s just clutter in their view.

🌟 Salesforce is moving its permissions from Profiles to Permission Sets – and this shift brings great flexibility for admins! 🚀

But here’s an idea I’ve been thinking about to make permission management even more powerful:

🔧 Future Enhancement Idea:

It would be amazing if Salesforce allowed admins to view all users assigned to a Permission Set and edit CRUD permissions (Create, Read, Edit, Delete) for each user within that set! Currently, we can see Permission Sets assigned to users, but we can’t easily adjust individual user permissions from within that set.

✅ Why this would help:

  • Multiple users could have different permissions within a single Permission Set without needing to create multiple sets.
  • Better visibility into who has what permissions.
  • Streamlined workflow for admins, making permission management faster and easier.

Not sure if this is a great idea or not – I’d love to hear your thoughts on it! Is this something you think would improve Salesforce admin workflows? 💡

What plan did you decide on to reduce your customer profiles? I’m wracking my brain for the easiest option as I have 6 different record types for accounts, leads and opportunities because we have completely different sales teams.

Hi Team, I would like to make the Service Console custom app as a default for some profile in SF.  I followed the below steps but when I tried login as other user I still can landed in 'Sales' cloud app.

  1. From Setup, enter App Manager in the Quick Find box, then select App Manager.
  2. Click New Lightning App and walk through the New Lightning App wizard.
  1. Add only the App Launcher tab to Selected Items.
  2. Make the App Launcher the default when users log in for the first time.
    1. From Setup, enter Profiles in the Quick Find box, then select Profiles.
    2. Select a profile and scroll to the Custom App Settings section.
    3. Select Default next to the Lightning app.

Please let me know If I am missing something.
